The Operations Manager & Estimator reports to the President. They are responsible for the creation, implementation, and
oversight of all internal processes to ensure the company is operating efficiently, while also functioning as the central
point-person in creating and facilitating estimates and proposals through our internal system in a timely manner.

An effective and successful Estimator is expected to:

Key Responsibilities (Operations):

  • Partner with the Leadership team to assess and update agency organization, structure, and internal processes
    with the goal of ensuring operation is at its highest potential
  • Regularly create, implement, and update internal operational processes, procedures, guidelines, including
    documentation for each
  • Onboard and train all new employees on internal processes, procedures, and guidelines
  • Act as a troubleshooter for all employees on issues regarding processes, procedures, and guidelines
  • Monitor (and correct as needed) employee use of internal processes, procedures, and guidelines to ensure
    efficiencies and effectiveness across all departments
  • Oversee IT operations, and assess and update processes and programs on a regular basis
  • Monitor and troubleshoot Google Workplace server operations, structure, and employee use
  • Monitor and troubleshoot internal project management tools, and evaluate and implement program updates
  • Oversee the Office Manager and general office operations

Key Responsibilities (Estimating):

  • Use guidance and input from the Marketing Strategy team to assess project requirements, then research and
    liaison with key departments to gather the information needed to create project estimates in a timely manner
  • Quickly identify available resources, either internal and/or external, and time requirements
  • Proactively create and maintain strong relationships with external resources
  • Secure quotes and negotiate timing and cost with external resources
  • Maintain standardization of internal pricing and margin requirements set by CFO
  • Maintain a thorough and searchable library of past and current estimates
  • Use data analysis to identify areas of improvement to continually drive business results
  • Continually develop and refine your knowledge of local and national industry pricing to keep Sales Factory
    competitive

Requirements:

  • Bachelor’s, Business or Accounting degree required
  • 2-5 years of experience in operations management
  • 1-3 years of experience as an estimator or purchasing agent
  • Strong and effective communication skills, both written and verbal
  • Demonstrated ability to increase productivity and continuously improve methods while remaining cost-sensitive
  • Demonstrated ability to see the big picture and provide strategic advice
  • Proficiency in Microsoft Office suite, Google Workspace, file management, and project management tools
  • Proficiency while working with numbers and budgets
